Paper-less? Or is it really paper-light?

 

Often the first step that any organisation will take in becoming more environmentally friendly will be to reduce its paper consumption. And rightly so, as there are many benefits in adopting a digital solution such as Case Management where emails, documents and scanned physical materials can all be stored electronically:

Reduce costs – of printing, storing and archiving reams of paper files. We have clients who have saved huge amounts of money by being able to directly access archived files, rather than paying the cost of retrieving them from information archive services. The printing costs involved in iterations of court bundles can also have significant budget implications.

Free up physical space – when we first meet them, some of our legal or property clients have entire rooms dedicated to storing paper files.

Make it easier to find, retrieve and share information – with all information centrally located, and easily accessible to authorised persons.

With the right data protection and security policies in place, this data can be sensibly retained for many years to comply with government legislation, or industry and organisational guidelines.

However, the goal of becoming a completely paper-less office, while laudable, can often be off-putting and unworkable. People like paper, and paper copies of final and important documents may provide an extra layer of comfort and security. In our experience a more realistic expectation is to become paper-light, and many of our clients would now classify themselves in this category.
